We collect information in three ways:

  • Information you give us, for example when you complete our application form (your name, email address, phone number, website or LinkedIn profile, the stage of your book and what you want it to achieve), write to us, or become an author.
  • Information created while we work together, such as your onboarding questionnaire answers, the materials you share, drafts, notes and correspondence.
  • Technical information that is necessary to deliver the website securely, such as your IP address, browser type and the pages requested, processed by our hosting and security provider.

3. How we use your information

We use personal information only for the purposes it was provided for:

  • To review your application and contact you about it.
  • To prepare proposals and agreements, and to deliver the services you engage us for.
  • To write, edit, design, publish and launch your book.
  • To respond to questions and provide support.
  • To keep our website secure and prevent misuse.
  • To meet our legal, tax and accounting obligations.

4. Legal bases for processing

Where data protection law such as the UK GDPR or EU GDPR applies, we rely on the following legal bases:

  • Steps before a contract and performance of a contract when we review your application, prepare a proposal and deliver our services.
  • Legitimate interests in running and securing our website and responding to enquiries, balanced against your rights.
  • Legal obligation where we must keep records for tax, accounting or regulatory purposes.
  • Consent where we ask for it, which you can withdraw at any time.

5. What we do not do

  • We do not sell or rent your personal information.
  • We do not use advertising or cross-site tracking cookies.
  • We do not share your application or manuscript materials with anyone outside the people and providers working on your enquiry or book.
  • We do not use your stories or materials to promote Omega without your permission.

6. Who we share information with

We share personal information only with trusted service providers who help us operate, and only as much as they need:

  • Website hosting, delivery and security providers.
  • Form-delivery, email and customer-relationship tools that receive and store applications and correspondence.
  • Font delivery services that supply the typefaces used on our website, which receive your IP address when fonts load.
  • Printers, distributors and retailers, where needed to publish and deliver your book.
  • Professional advisers such as accountants and lawyers, where necessary.
  • Authorities, where we are legally required to do so.

Our providers act on our instructions and are required to keep your information secure and confidential.

7. International transfers

Some of our service providers may process information outside your country. Where information is transferred internationally, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses approved by the relevant authorities.

8. How long we keep information

  • Applications that do not proceed are deleted within 12 months unless you ask us to keep in touch.
  • Author project records are kept for as long as needed to support your book and for up to six years after our work ends, to meet legal and accounting obligations.
  • Enquiries and correspondence are kept for up to 24 months.
  • Technical security logs are kept only as long as our hosting provider requires.

You can ask us to delete your information sooner, subject to any legal obligation to retain it.

9. How we protect your information

We use appropriate technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access limited to the people who need it, reputable providers with strong security practices and confidentiality commitments from everyone who works on your book.

10. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict or object to the use of your personal information, to data portability and to withdraw consent. Our GDPR and data rights page explains each right and how to use it. To make a request, email [email protected].

11. Children

Our services are intended for adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, please contact us and we will delete it.

12. Cookies

Our website does not use advertising or analytics cookies. Our hosting and security provider may set strictly necessary cookies to protect the site. Our cookie policy explains this in detail.

13. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. Significant changes will be highlighted on this page.
